Grounded in the mission and values of Catholic Theological Union, the Associate Director of Enrollment Operations has responsibility for internal process and communication around enrollment and financial aid systems.

Under the direction of the Senior Director of Enrollment Management, the Associate Director is responsible for managing admissions data systems and processes along with the strategic oversight for inbound and outbound data flow to contribute to the institution’s goal of increasing the yield of applications for admission and retention of current students. The Associate Director will play a key role in overseeing an exciting initiative, Ministry Placement, a strategic plan being developed to enhance recruitment and student career development.  The Associate Director also supervises and coordinates the work of the Admissions and Financial Aid Coordinator.

Together with the Enrollment Management team, the Associate Director will set the standard for excellent customer service to new and returning students with questions or issues regarding admissions, enrollment, and financial aid.

The Associate Director reports to the Senior Director of Enrollment Management and works in collaboration with the offices of the Registrar, Vice President and Academic Dean, Assistant Dean, Finance Department, Director of Information Technology, and Program Directors.

Specific Duties and Responsibilities

1.  Oversee inquiry intake and communications process online, by phone or in person.

2.  Coordinate admission application process, including documentation and throughput.

3.  Manage the application process for and make recommendations on the distribution of financial aid/scholarship, at the direction of the Senior Director of Enrollment.

4.  Review assigned admission applications and make decision recommendations.

5.  Manage and make recommendations of the CRM technology for the department. Collaborate with colleagues in Information Technology to ensure the data integrity of the EMP.

6.  Prepare regular admissions and pipeline reports of inquiries, applicants and matriculants.

7.  Support all volunteer, open house and student ambassador programs on campus.

8.  Oversee implementation of a cross-departmental initiative, “Ministry Placement,” leveraging program in recruitment efforts, managing the compulsory mentoring program, and establishing partnerships with employers and partners.

9.  In consultation with the Assistant Dean, provide guidance to students inquiring about graduate theological education. The Associate Director of Enrollment Management should have intimate knowledge of CTU’s degree, certificate and continuing education programs as well as their application to ministerial and theological roles or careers.

Knowledge, Skills and Abilities Required

1.  Two-three years’ experience in higher education administration or operations.

2.  Proven mastery of Microsoft Office software, particularly Excel.

3.   Demonstrated ability to conceptualize, design, implement, manage and evaluate institutional Enrollment Management processes, policies and procedures.

4.  Familiarity with higher education administration, strategic enrollment concepts and programs.

5.  At home in a Catholic graduate school of theology and is committed to its mission.

6.  Strong skills in building and maintaining good working relationships with faculty and staff.

7.  Strong organizational skills.

8.  Ability to work with diverse populations and various education levels.

9.  Master’s degree preferred.
